# Adding a document and categories

Learn how to add resources to your profile. Assign files to standard categories, understand "non-public" rate sheets, and use the Text or URL options to generate PDFs or link to hosted documents.

Keeping your resources organized helps **Tour Operators and Agents** find exactly what they need quickly. By adding documents and assigning them to specific categories, you ensure partners always have your latest rates, menus, or Terms & Conditions ready to reference or include in their quotes.

## **Understanding Document Categories**

When you upload or create a document, you must assign it to one of the following system categories:

- **Menu (Food & Drinks):** Menus that partners can share with clients.

- **Terms and Conditions:** Your official booking policies.

- **Privacy Policy:** Your data and privacy guidelines.

- **Rack Rates (non-public):** Your official public pricing. _Note: "Non-public" means this document is only visible to Tour Operators and Agents for reference, and will not be displayed to the end-traveler._

- **STO Rates (non-public):** Your specific contracted or net rates. This is also strictly visible only to your B2B partners.

## **How to add a new document**

1. **Sign in** to your **User Account** and access your listing.

2. Click the **Documents** tab in the top navigation bar.

3. Click the **\+ Add New Document** button.

4. Select your preferred format (**PDF**, **Text**, or **URL**).

### **Using the Text option**

If you do not have a pre-formatted file, you can create one directly in the platform. When you select the **Text** option, SafariOffice will automatically create a PDF document from your input, which partners can seamlessly add to quotes.

1. Select **Text** from the format options.

2. Enter a clear **Document Title**.

3. Select the appropriate **Category** (e.g., Terms and Conditions) so partners know what the file contains.

4. Paste or type your content into the **Custom Text** field.

5. Click **Save** to generate and publish the document.

### **Using the URL option**

If you host your documents online (such as on your own website or a cloud drive), you can simply provide a link instead of uploading a file.

1. Select **URL** from the format options.

2. Enter a clear **Document Title**.

3. Select the appropriate **Category** (e.g., Menu (Food & Drinks)).

4. Paste the web link into the **URL** field.

5. Click **Save** to publish the document link to your profile.

> **Info:** Always ensure your rate sheets reflect your current seasons and pricing. Because **Rack Rates** and **STO Rates** are marked as non-public, you can safely upload them knowing only your registered B2B partners will see them.
